Host Club Guidelines (Brian’s email)

  • Formal adoption of Host Club Guidelines covering arrowing standards, safety, sanitation,
    and volunteer coordination. These include requirements for maps, first aid attendants,
    outhouses, signage, water and gas support, and easy-out routes for obstacles.

Reviewed collectively for edits and revision for 2026…

Add height of arrows – consider kids – C&D’s – 3’ or lower for little ones… Recommend a longer “C” Course…

BD will prepare for final review at AGM.

Recommend having a ‘host club handbook’ to reference (all in one) and our Rules and Regulations. Can be assembled upon completion.

Discussed host club guidelines and potential rule changes. It was decided that most of the recommendations would fall under guidelines and not rule changes, such as the safety rules going on the sign boards and rules around number of first aid attendants.

We also discussed promoting club membership amongst the racers and how to do so, whether that was something the PN should mandate or not.

These guidelines need to be worked into the racer’s handbook for 2026.

  • We have a quote for $11,00 for a large stash of PNWMA stickers- 8×3 ($3.26) – sell for $5 at awards—CC and SD would sell… 4×2 ($1.00), 2 x3/4 ($.30)

Race Calendar & Scheduling

  • Schedule races between April and the end of October, with a maximum of two races per month or no more than two consecutive weekends.
  • Spacing improves participation & volunteer capacity.
  • Need to coordinate with WOC and AMSA
  • Long standing events
  • Lottery dates
  • Tie in date approval with trail sustainability considerations
  • Suggestions to move races into different times of the year to accommodate seasonal shifts.

Discussion: 10 per year, alternate each year a different race or location, reduce volunteer burnout – space out…, trail leadership/maintaining… Comments also note that it is not about number of races but about spacing.

Revisit at AGM to see if clubs are open to spacing—we need to prevent volunteer and racer burnout.

Race Calendar is finished!

  • No Vedder, No Treehugger (trail rest), Cat Scratch is Now Squamish Hard Enduro.

  • Revelstoke would like to put on a race (late September). 9 Races overall in 2026.

  • Calendar updates will be in the google drive

  • Calendar Prints for the Awards Night (Carla, once she gets AMSA update)

Strategic Discussion Points

  • Create job descriptions for all PNWMA roles to clarify responsibilities. Asked for support in drafting roles.
  • Develop a five-year strategy plan for PNWMA and affiliated clubs
  • Sprint or Enduro-style race format

Discussion around the evolution of the PNWMA from a calendar of various racing and motorcycling events to a strong focus on the BCORCS series. – Consideration for governing more race formats… sprint and hard enduro etc.

Initiative should focus on growing our governing body – we have roles to be filled and supported—need to plan for our succession – which is also why job descriptions are important. Many of us have been on the board for over a decade ++.

We are mostly BCORCS. What is our Identity/ Brand

People think being involved with the PN we are only hare scambles. Very hard to get time raced events as it is, so opening our brand to other types of racing can open our participation

Evolves Organically already

Bike show is a great place to bring up ideas/ purpose ideas at the booth

For new series, we would ask you to purpose rules/ and post rules.

Insurance is required, so there’s a large opportunity in Club Group Insurance when clubs run under the PN.

Split Women Beginner “C” Class

  • Add a Girls Junior class for 15 and under girls in C-Class
  • No big bikes
  • Starting behind the Kids Junior

Discussion before vote:

  • Open to ideas about the name for Girls Intermediate/ Women’s Jr/ Age Limit 15 so girls more suiting then Woman’s / Girls Jr is well liked doesn’t dimmish the b Course.
  • No bike size limit suggestions but they could just go up to women’s Beginner.
  • Almost 10 girls coming up from the D Course / less intimidating
  • Talk of no bike restriction more on age bracket and ability. Age restriction possibly not bike restriction.
  • Ken believes the racing is super tight and competitive because they are all on the same size bike. Sometimes exceptions are made
  • New numbers to include new class

Voted to split the Women’s Beginner class into Girls Junior (under 15 & no big bikes) and Womens Beginner (no restrictions).
