Host Club Guidelines

To be issued into the racer’s handbook / website for 2026. Damien will get onto the website by the bike show.

Brian asked where to find the arrowing diagrams and new guidelines we made on the website. Damien was going to look into why they are not showing up.

Brian still looking for the guidelines.

Damien said they should be up now.

We would like to add specific info for each club. A One pager with information such as When to get poster up.

Equipment Purchase – Checkpoints

Vote to support additional checkpoints in a couple of the races next year.

Equipment Purchase – sign boards (Reflective 2ft x 3ft). Voted for the race guidelines sandwich board printing budget, Content wording still to be finalized.

The artwork was reviewed by Sarah, Jane and Brian and brought to the board for final approval.

Approved by 4 directors. It is reflective.

Being done by MinuteMan Final amount $1,788.84 for 12 units.

Point alignment with other race series:

– some favourable response to this in the email thread

– Ken suggests we check the metrics to see how this change would have affected the last few years results, to see if it even creates different results.

– discussion on informing racers and having a poll.

– plan is for Brian to get something together by email for everyone getting informed and we can vote on it March 18th, we could implement it this season if desired.

Feedback for Consideration

Brian-would align to other series

Sarah – Changing the points could increase late season participation as there is a tighter gap between leaders.

More reward for first—more competitive environment, proponent of matching other race series to create congruency. Rules are already set for 2026 this discussion would need to be addressed during the AGM

Wayne- Reward for 1st is not as important. The 30 Points for first makes you push

Ken- Both systems are normal around the world. They create different incentives and wouldn’t really change anything.

Matt- Would tighten up the race

Carla- First Place is more of a reward with the current system

Christine- second, third, forth would be more competitive to whom gets on the podium.

Racers seemed very jacked up thinking that they would do much better.

KATIE- AMSA Point system in favor

Damien- Would be way more fun for who’s in the front. People who are going to win they are going to win

Julie- We still had 12-15- 18 till the end of the race

AMA does 25

AMA Motorcross does the 30

NMA -30 Points

All agree to keep talking about it. And address again in the AGM.

Brian has drafted a sheet analysing the point tally scoring differences.

Feedback for Consideration

Ryan- People who travel to have more time to travel

More time to relax

Less stress on the event

Don’t want to create less attendance

People want to stick with current so they can pre-ride

Brian- Chipmunk because there is no service they have already made arrangements for first aid. But could change things

People could still leave on Sunday and travel home safer

Saturday could become more of a celebration

If Sat night turns into a party then CDE riders and volunteers would likely lose sleep on Saturday night.

Dirt bike shops work and can’t race or attend. Often shops and other racers arrive with parts for racers. Sponsors and staff should have the option to attend.

Challenge is last minute changes to the course or checking for proper arrowing will be a challenge for the clubs.

Typically volunteers for the AB race are getting equipment and finding their locations on Saturdays.

Carla- Chipmunk could stay the same

Carly – Could not change the day/ Kids would not sleep

Suggest each race can decide but what if people don’t remember/

Ryan, as soon as race is over everyone peels out

Madison- Possibly setting up the A B courses would shift to Friday is that going to be cumbersome

Ryan has to set up the course on Thursday and Friday as Saturday is super busy setting up for the kids

Jane- Some races encourage pre-riding test bike somepeople needs parts or bike repairs

Very unfair to volunteers parents etc if there Is a party

Sarah – safety concern- larger portion of A B racers will be leaving while kids are still riding

Sarah- We don’t; offer our riders a formal pre-ride.

Fairness etc – Most races in all the other series you do get a chance to pre-ride creates safer races

Ken- has done a lot of races in Alberta who is switched. You either take Monday or Friday off to Travel

Ken always went on Sunday- race day is Sunday if it was a poker run you would miss it. The mass exodus of trailers while kids are racing.

Katie- What about starting earlier

Jessie- timing is the last one out it’s a long night to get out to tear down timing, trailer, and drive home

Sarah- would love to start earlier

They are already they earlier anyways

Long weekends can start later

Sarah- can take the pulse of the membership.

If some are on Sat or Sun people will not be able to keep it straight. May cause confusion.

If we flip one we call it out a ton.

Sign up would start earlier. 7-9

Ryan- if Sunday is easier day for the host club.

Purposing start at 10am. Not in support of swapping days.

Sarah- if we start at 10 we should announce it a lot

Jane- been around a long time and thinks there are more potential issues.

Monkey Wrench- would like to start earlier.

Chipmunk needs to start later for the dampness

Start an hour earlier/ Motion on the floor.


+ Leave it up to the clubs if they want they need to announce it loud and proud.

Suggestion to clubs+

Carla will set up a meeting with the promoters.

Ryan understands that this will be a next year discussion.

Local Members are interested in entertaining.

Thinks it should be left up to the host club.

He will also now be starting at 10 on Sunday.

Calista has heard a lot of people would like the change.

A lot of stress and have the stress be over by Sunday.

There is a potential to have more volunteers for the race because there are more parents around to help.

The pre-riding on Saturday can turn the course to moon dust.

Carla: Going to have a test section to check bike etc

Madelyn: Thinks if we change it we all need to change so people aren’t confused.

Brian suggests managing the camping to help with the exit cluster

Ryan: Too hard to manage

Checking the A loop on Sat can be exhausted

Sarah: could hurt kids participation if switched

Sarah- needs to get the posters sooner then later to get them approved.

Carly almost done the monkey wrench poster.

Social Media/

Calista is publishing but needs to be edited. When we post on social media we lose the interest to go the website

Damien/ would be best to post to website and put a link to social media

Younger people don’t use FB or IG

Email list or thread they let everyone on the thread know there is a post.

Damien will reach out to Calista

Sarah will post to FB as well/ There is a purpose for the website and a purpose to social media

Just a sign up for registration/race. Doesn’t need to go on a news roll.

JOB DESCRIPTION

Brian – Maybe not everyone knows their job. Or possibly they aren’t capable.

Christine- People needs to do their jobs and know their jobs

Brian and Christine to interview each to find out the roles that they fill. Then they will put together a list of job descriptions for each member. This will help in case someone has to leave their position, we will have notes on what it is that they took care of and the new person will have an idea of what their role is.

Racers who want to leave a race earlier can they take their trophy.

Rules states after the race is done there is a 30 min dispute time, sometimes there are exceptions when someone has an obvious placement and they have to catch a ferry.

We don’t; want to encourage racers to leave the awards

Still leaning in to capping race fee’s

If you have a section 56 you can apply for the trail grants

Brian is going to keep trying to find out what is happening in regards. BCOMA and ORV Status

Peter Sprague invited to our next meeting or future meeting.

Brian- Vedder is going to have a fun ride on May 3rd

A and B, C and D Arrowed course.

Swap Meet on Sat at 10 AM

They will be published to the web page

Waiting for Posters, sponsors to put on the poster etc.

Brian will talk to Peter Sprague to improve the relationship between PN and BCORMA. He will get back to PN.

BCORMA DONATIONS

$3000-$1500 every year.

This year at the AGM we didn’t bring it up and we did not donate. They are in financial distress. The revenue being collected at the motorcycle shops is disappearing. The funding has been cut. The rep is down to less then one day a week.

Sarah suggests we donate $1500. To discuss next meeting. Consult with Sylvie to check the financials.

BCORMA doesn’t pay us. We need to consult with them.

NEW BUSINESS

Other organizations and clubs joining the PNWMA

We have a large following, would create more community involvement.

We would not need to run or organization.

Benefit our ridership base would know about the events and governance. If any issues came up we have a more formal set of directors to review.

Ted: The club is not for profit/ do these organizations align.

Sarah: are we interested in having other championship series that go outside our umbrella.

Sarah to ask Johnathon to come to next meeting.

Dual Sport BC

BCORMA could be stronger supported.

In the past we had a lot of different events. They paid to be members.

It could be simply just advertising. More web page exposure.

These meeting could become committee type meetings instead of long one every month.

Ben Rodd – Happy we to join and see our governance. And likes the idea of incorporating other motorcycle clubs

TED: If you were a overall winner of the PN you had to ride off road, street, and attend meetings. The history is to promote motorcycles in the NW.
