PNWMA Website and social media: Reviewing improvements to and effectiveness of website traffic, linking and social media use. Awards Hall of Fame (photos and recognition of season winners for each year) to potentially be developed. Potentially look at club specific pages for clubs/members.

Update: Leaving open to encourage improvements and recruitment for additional volunteers/association members.

Social Media Coordinator role- seek volunteer can assist with advertising

-Calendar Coordinator needs assistance with emailing for logos. Damien has volunteered to help. Carla is not awesome at repeat emails but is great at the sponsorship generating from the shops.

  • No riding while race in progress
  • Will amend rules to state that no riding during the race Saturday and Sunday until the race is finished

  • Cost per head- $60 Adult, $30 Child
  • Suggestion based on 250 People Expected
  • Costs to PN are $90 Adult and $50 Child
  • Alberta Prices are $65, and $35 Children Under 10
  • Council decides on $60 Adult $30 12-Under
  • Rooms are $172
  • Sign in Table, 50/50 Door Prizes. Dinner Ticket. Christine will seek further volunteers. Jackets Trophies, Audio Visual.
  • PROs are not available to attend the ceremony.
  • Christine suggesting a short video that they say hi and except their award.
  • Free Dinner Ticket to Volunteers
  • Estimating 10 people.
  • Need support to the ask for SHWAG from shops.
  • List of sponsors on our PNWMA Google Drive.

Throw-aways

  • If we have more then 10 races, then we will have one throw away. The 10 races need to be held none canceled. No certain rule until we know if all races take place.

  • If decided to have a throw away then we need to announce the one throw away before the middle of the season.

Longest run in a row is in the fall. 10 Races or more just one throw away. New Rule Damien to update Rules

Kahuna

  • Lots to be worked on for the new Whispering Pines Race on Lafarge Area.
  • Kamloops. Need Camping area, a local is willing to offer their property Lafarge.
  • Details to be worked on. Quinton is the guy
  • WOC Race
  • If Kahuna is Cancelled, where would we go. Who is our third.
  • Need to work with Alberta to fit in their schedule.
  • Lots of faith in Big Kahuna. Quinton is trying very hard.
  • Ryan got Idea from Julie to add mile markers
  • Example of Mile Marker: Just the B Loop. A Loop are big people can manage the grind. B Loop needs the encouragement. Green doesn’t work in the bush. Neon green. Options are being experimented with. Colour blind people need specific coulors. Yellow background black Numbers best to see.

  • If there are poster for races they need to be run through Sarah
  • Post on social media for racers to get ready to race
  • Most times they post before anyone has a chance to check
  • Rules state posters should be pre-approved/ to reiterate that it is a BCORMA Race series. Sign up times, location, etc. There are usually important details missing

FIRST AID

  • Need a second attendant to stay with the station
  • Required by insurance to have 2 Attendants
  • Jessy or Sarah to get their level 1
  • Monkey Wrench is remote enough that attendant can facilitate a rescue scenario
  • Should the PNWMA take on the responsibility of First Aid or should it be up to each club
  • One Level Three with Rescue Experience and another attendant on site
  • Scoring Team will put Sarah and Jessy through level 1 (suggestion)

CAT SCRATCH UPDATE and BIG KAHUNA

  • Big K Only C and D Private Property has been disrespected by local riders. Grass track build on the Ranch. Local Riding Community needs to realize these events require respect to the local properties
  • Kids Only on Sat C and D/ will be tricky to keep the riders out of our race area
  • Camping will only be available through pre-registration
  • Gravel pitt is owned by MOT they may allow us to have day use only Parking
  • WOC will transfer to Cheuwles instead of the Big K
  • $45 for the Kids
  • CAT SCRATCH is in the deep of it getting ready waiting on T Shirts and Trophy’s
  • Race Costs should be discussed with CLUB
  • Consider getting a discount if they have another club membership
  • Tough economic times and we should be sensitive to this
  • Possibly have an additional throw away because we have 12 Races in order to be sensitive to the community/ All in favor of a second throwaway
  • To be reviewed every season depending on how many races.

Rule Guidelines for Working Points

  • Submitted electronically

  • Amending the Work Point Guidelines to have more clarity
  • Re-visit at AGM
  • For Now- guideline must report with in 10 days/ 2 weeks
  • More then 3 hours/ full day/ Job will assigned by club

Age Guidelines

  • AGE RESTRICTED CLASSES: For age-restricted classes, a rider’s eligibility is determined by their age at the time of the first race entered for the season. Once registered in a class, they may remain in that class for the entire season, even if they have a birthday that would otherwise move them to a different age group. Riders can be reassigned to a different class mid-season if they qualify for a different age class.  Points do not transfer from class to class.
    • Recommendation is to go by the Age not Year

Electric Bikes

  • Electric bikes are not yet an issue for our big courses, but I can see it becoming for kids. At the moment, it’s not a huge issue as we ensure running start to make it even.  At some point electric bikes will provide an advantage to the racers.

Kid Sweepers

  • Sweepers are sweeping their kids only.
  • Their bikes are in the way and the parents are trying to manage passing.
  • Last Race Sarah and Katie had a little Pow Wow with the parents to advise them of better educate. Worked very well
  • Advised to keep up with the riders meeting at each race to advise the parents

2025 Awards Location

  • November would be better timing
  • Mailing things out is too hard
  • End of January is best
  • March was good turnout but too close to beginning of season
  • January for timeline, location to be determined

First Aid

  • Standardizing
    • Possibly hiring specialized rescue crew to manage but expensive
    • Should riders ride after hours taxing on the first aid
    • Kids riding at night
    • Pit riding so many kids need a specific area
    • Ride with phone recommendation
    • Sub-Comity of Carla JM and Cait to start the medic standardization and present

Trophies

  • We only trophy to 3rd
  • Should we trophy out further with PNWMA support or stay at 3
  • Some people don’t collect trophies
  • Kids maybe should be trophied out further
  • T-Shirts and Trophies are quite expensive roughly $10,000 each race
  • Maybe the club helps with First Aid, or Trophies, or Outhouses
  • Standardize the costs per race
  • Subsidized the kids race with adult race
  • Cheaper trophies
  • 44 Junior under over/ Merritt has a ton of Jr riders
